Workspace and team

What a workspace holds, who can invite colleagues, what the limits are, and how to share results with people who have no login.

Updated

A Depra AI workspace is where your organisation keeps its projects. Owners and admins can invite colleagues to it from Members. Read this page when you want to add a teammate, or when you work on more than one brand or client.

What is a workspace?

A workspace holds your organisation's data in Depra AI. That is the organisation name, your GSTIN if you enter one for invoicing, and the projects you create.

A project is one brand you track, with its competitors, markets and prompts. Your plan sets the number of projects: 1 on Starter, 2 on Growth, 5 on Scale and 10 on Enterprise. Your prompt slots are counted across all your projects.

If your trial ends or you cancel, your workspace and its data are kept.

Who can invite colleagues?

Owners and admins can invite colleagues to a Depra AI workspace. They do it from Members. Setup also has an Invite your team screen.

Owners and admins also decide whether members can connect AI apps. On the API Keys page, they can switch off Members can create tokens and connect apps. When it is off, members cannot create tokens and their tokens stop working. Owners and admins keep access.

How do I invite a colleague?

You invite a colleague from Members, by email address.

  1. 1

    Open Members

Sign in as an owner or an admin of the workspace, and open Members.

  2. 2

Invite your colleague by email address

Depra AI stores the address and sends the invite to it by email.

Note: An email that already belongs to a Depra AI workspace cannot join a second workspace yet.

Can one email belong to two workspaces?

Not yet. An email that already belongs to a Depra AI workspace cannot join a second one. A person who works with two workspaces cannot use the same email address in both.

An agency tracks each client as a project on one plan. Scale pools 120 prompt slots across 5 client projects, and Enterprise pools 300 across 10 projects. See Depra AI for agencies.

How many people can I invite?

Depra AI publishes no seat count. The pricing page lists none for any plan, so this page states none.

If the number of people matters for your choice of plan, ask the team at team@depra.ai before you start.

How do I share results with someone who has no login?

Save the report as a PDF and send the file. The online report needs a Depra AI login for that workspace, and there are no public share links.

  • PDF report: open the project's report and save it as a PDF from your browser's print dialog.
  • Report link: the Share action on Overview opens a report link. Viewing its data requires a Depra AI login for that workspace.
  • CSV export: stored answers export as a CSV file, with the brands each answer named and the websites it cited.
  • Your logo: the pricing page lists your logo, colours and footer on reports on Scale and Enterprise.

More on reports.

Where do API keys fit in?

API Keys, in the sidebar under Company, is where you create a personal access token. An AI app uses that token to sign in to the Depra AI MCP server, which reads your data and changes nothing. A token can read only the projects its creator can access, so keep it secret. Each token has an expiry date and a Revoke link. See connect your AI app.
